We are currently looking for a Document controller to support a major Oil & Gas project, based in  Istanbul / Türkiye.

Job Description

Main Responsibilities

Document Control & EDMS Management

  • Use New PRODOM for all day-to-day document control activities, including document registration, integration of contractor-issued documents, registration of transmittal sheets, creation and launch of review workflows, and maintenance of the related distribution matrix.

  • Follow up and expedite the document review and approval process, consolidate comments, prepare outgoing transmittals, and transmit reviewed documentation back to contractors.

  • Liaise with the Lead Document Controller regarding system configuration, technical issues, bugs and maintenance of the Company EDMS (New PRODOM).

  • Provide training and support to Project personnel on the use of EDMS tools and New PRODOM.

Documentation Quality & Compliance

  • Perform quality checks on contractor documentation and ensure timely review, validation and approval.

  • Verify the compliance of contractor-issued documents with Project specifications, Company standards and document control requirements, using dedicated automated checking tools where applicable.

  • Identify and comment on non-conformities and reject documents when required.

  • Continuously review Project documentation to ensure compliance with applicable standards regarding document numbering, templates, graphic charts, symbols, formatting and document quality.

  • Maintain a good knowledge of Company Specifications (GS/GR), GPI Iraq Project procedures and Corporate procedures related to Documentation Management and ensure their proper application.

Coordination, Reporting & Project Support

  • Report regularly to the Document Control Lead, providing clear visibility on progress, pending actions, bottlenecks and areas of concern.

  • Coordinate with other Project Departments as required for the management of technical documentation, correspondence and document workflows.

  • Provide support to the overall Project Team on all matters related to document control and documentation management.

H3SE & Confidentiality

  • Adopt and demonstrate exemplary behavior regarding H3SE, ensuring that all applicable H3SE rules, procedures and requirements are properly implemented within the area of responsibility.

  • Maintain strict confidentiality in all documentation management activities, particularly during the tendering phase and throughout the entire duration of the Project.

Qualifications

Professional Experience

  • Minimum 6 years of professional experience, including at least 3 years in Document Control within Oil & Gas EPC projects or major infrastructure projects.

  • Proven experience in managing the full lifecycle of technical and project documentation, from receipt and review through approval, distribution, transmittal and archiving.

Document Control & Coordination Skills

  • Strong knowledge of Document Control processes, EDMS workflows and document management practices.

  • Demonstrated ability to coordinate document flows between contractors, project teams and key stakeholders.

  • Experience in resource planning, prioritization and decision-making within a project environment.

  • Ability to manage high volumes of documentation, follow up on deadlines and ensure timely review and validation

Languages

  • Fluency in English is mandatory, both written and spoken.

Additional Information

Place of work (City & country ) : Istanbul / Türkiye 

Working Schedule : Resident 5 days per working week

Starting date : October 2026

Duration of the mission : 12 months + 12 Months Extension

Contractual scheme : Turkish Employment Contract
